Kicking off With Confidence

Once the perfect opportunity is identified, you are introduced to your dedicated Bid Consultant. They arrange a kick-off meeting where they guide you through our tried and tested processes, clarify responsibilities, set key milestones and establish a joined-up approach to the project which best suits your needs.

For our returning clients, we review your past submissions, identifying previous successes and leveraging insights to make your next bid even stronger. From your first call with our team, we demonstrate how our expertise gives your business the edge to succeed.

Building a Winning Framework

Before we begin writing a bid response, research and planning takes place. Led by your Bid Consultant, this process involves creating a detailed structure framework for the response, ensuring every aspect of the question is answered precisely and your organisation’s strengths (such as experience, qualifications and added value) are effectively highlighted.

This preparation ensures that responses are fully aligned with tender requirements and evaluation criteria. All structures are reviewed by the wider team as part of our quality assurance process, so that nothing is overlooked and every opportunity to maximise quality scores is captured.

Writing, Reviewing and Refining

The first draft is developed using the agreed framework and information gathered through your preferred method of working, whether by email, phone or Microsoft Teams. First drafts are reviewed internally to identify any additional information needed to maximise alignment with the scoring criteria. They are then shared with you for input to address any gaps, after which changes are implemented to produce final drafts.

At this stage, only fine-tuning remains, with outstanding details added and compliance checks such as word counts, formatting and submission requirements completed to ensure the responses are submission-ready. The final versions are then sent to you for approval, giving you full visibility and confidence in the submitted responses.

Ensuring Compliance

Once you have approved the drafts, we upload them and all related documentation to the procurement portal and a member of the team performs an in-depth compliance check to ensure all requirements (including polices, financial information, selection questionnaire and supporting evidence) are present and accurately accounted for. This acts as a final line of defence to ensure that the bid is fully compliant with all tender requirements. Once this is complete, you are given the opportunity to review the portal before providing confirmation that you are happy for us to submit your bid.
